The meeting was called to order at 7:00 pm. by Dean Scerbin.
Attendance
Present were Board members Dean Scerbin, Jon Small, Mark Majer, and Eric Haneberg of Associated Property Management LLC.
Mr. Scerbin thanked all attendees for coming and explained the reason for the meeting. The floor was opened for discussion.
Minutes of Last Meeting
A motion was made by Jon Small to approve the minutes of the last meeting. Mark Majer seconded, motion passed unanimously.
Financial Report
APM reviewed the financial report. Collection Policy is being adhered to and no late fees are being waived.
OLD BUSINESS
Website
Jon Small discussed the website and told the attendees that it is a free site for the members as local businesses use it for advertisement. He gave the address – www.bentleyhoa.com.
Front Entrance Lights
Mark Majer discussed the front entrance lights and explained that the system is low-voltage and too weak for our usage. The Board is currently looking into an industrial strength system with spotlights that will serve our needs.
Ponds
Dean Scerban reported on the ponds. The conservation area ponds maintenance has been turned over to the Association. The Board is currently waiting for a letter from the Conservation Department explaining their expectations and how the Association can maintain the ponds. Dean talked about the pond on 83 and the pond on Avery Drive. The Board met with Jim Piazza as well as the city engineer with regard to the ponds. The ponds were put in according to specs and are operating properly. The city inspector said that there are several reasons that our ponds are flooding. One is that the city found a lot of debris while they were vacuuming out the lines including mud, beach balls, sticks, etc. Also, the outlet pipes need to be dredged. They also suggested that the Board install an overflow pipe and remove some of the algae and other growth. The Board is currently considering cleaning out around the outlet pipes as well as grading, which should make the ponds more functional. The Board will keep everyone up to date as they receive more information.
The Board informed everyone that signs will be posted by the ponds reading: “No swimming, no fishing, no wading, no boating, etc”. The Board will be sending letters to residents who live near the ponds telling them that this will not be tolerated, especially since it is hampering the drainage system.

Collections
The Board reiterated that collection policies and procedures are being followed, late fees are applied, liens are filed and foreclosures are possible when appropriate.
Workers Compensation
There were questions about a workers comp policy. Mr. Haneberg informed them that currently the Board does not have a workers comp policy, however the Board can obtain one if they wish.
Lighting
There was discussion about there not being much light on the streets. The Board said they cannot force residents to keep their outdoor lights on. The people on Seton Drive stated that they only have one street lamp and asked if they could look into getting more. Other people asked if they could convert their gas lights to electric.
Speeding
Another topic of concern was the speed at which people travel throughout the development. The Board reiterated that police have been called and residents should continue to call the police department to patrol the area more often.
